NB. We do not knowingly or intentionally collect sensitive personal information from individuals, and you must not submit sensitive personal information to us.
NB. Regarding the maintenance of a register to record names of all guests over 16 years of age under the provisions of the Immigration (Hotel Records) Order 1972 (as amended), we do not keep such a register. This is because we have been advised that this Act is widely considered to be obsolete and is being considered for repeal as part of the Government’s Red Tape Challenge.

For administrative and business purposes, particularly to contact you and process bookings you place on our website or enquiries via the Contact Form, to fulfil our contractual obligations, to advise you of our holiday offers, to analyse your use of our website, and in connection with our legal rights and obligations.

Your full details are not held locally on computers but this information is held on HBO secure servers and drawn down and viewed as necessary in order to contact you via phone, email or if necessary by post.

We do not accept any card payments via the website, telephone or locally. Easyspace provide hosting of our website and email system which receives the order confirmation. Access to these Secure sites is via password and the information is not held on local servers. Occasionally we receive information about you from third parties usually this will relate to bookings made by you with other holiday agencies that we advertise TREVEDDOE with, these details will usually be restricted to your name and dates of arrival and departure and details of the number of people in the party.

Indicating possible criminal acts or threats to public security to a competent authority If we suspect that criminal or potential criminal conduct has been occurred, we will in certain circumstances need to contact an appropriate authority, such as the police. This could be the case, for instance, if we suspect that fraud has been committed.

When you make a request for or make a booking, we retain that information for six years following the end of the financial year in which you made the enquiries, in accordance with our legal obligation to keep records for tax purposes to satisfy requirements of HM Inspector Revenue and Taxes.

When you make an enquiry or correspond with us for any reason, whether by email or via our contact form or by phone, we will retain your information for as long as it takes to respond to and resolve your enquiry.

Data Retention of Booking and Customer Data:
We do not hold specific details of customer bookings/details locally other than as part of the paper audit for Accounting purposes (e.g. name and booking ID, cost and arrival and departure dates, name of unit booked) and for managing the necessary housekeeping of changeovers and cleaning.

Booking information is held on the servers of Holiday Bookings Online and is not held at a local level:

  • Our customers with bookings will have their customer, booking and other associated data retained for a maximum of 7 years from the date of the last booking or last customer update, whichever is the longer.
  • customers’ who have no associated bookings, their data will be retained for 3 years.

How we secure your information:
We take appropriate technical and organisational measures to secure your information and to protect it against unauthorised or unlawful use and accidental loss or destruction.
